The built-in Document Center allows you to store an unlimited amount of files directly inside the FlightLogger platform just like you know it from Dropbox.
Getting Started with the Document Center
The Document Center in FlightLogger is your built-in document library. It allows you to create, organize, and share files and folders internally with full control over access rights.
This guide walks you through how it works, how to manage access, and what to consider when structuring your folders.
Watch the video above for a full walkthrough.
1. Creating folders and documents
You can access the Document Center via the Documents menu at the top of your screen.
From there:
-
Click New folder to create a main or subfolder
-
Click New document to upload a file into any folder
-
You can also organize your content with multiple levels of subfolders (e.g. Program → Phase → Lesson material)
2. Managing access and sharing folders
By default, Administrators have access to all newly created folders and files. Other users must be granted access explicitly.
To share a folder or file:
-
Click on the item
-
Click Share
-
Search for and select:
-
Programs (e.g. CPL(A))
-
User groups (e.g. Instructors, Staff, Students)
-
Individual users
-
-
Click Share to apply
Example: Folder shared with instructors and students under a CPL program
Understanding access levels
Access level | What it means |
---|---|
Can view | User can open and read documents inside the folder |
Can edit | User can upload, delete, or edit documents/folders inside the folder |
No access | User cannot see or open the folder or file |
When assigning access to a subfolder or file, make sure the user also has access to the parent folder – otherwise they can only reach it via direct URL.
Inherited access from top folders
When you share a top-level folder with a group or users, all subfolders and files inherit this access by default.
-
Example: Sharing folder “CPL” with all instructors means every file/subfolder inside is also visible to instructors
-
This inheritance applies unless you override it
To override inherited access for a subfolder:
-
Open the subfolder
-
Click Share
-
Define new sharing rules
-
Once you click Share, the folder will no longer inherit access from the top-level folder
Using 'No access' to exclude users
You can remove access for specific users without affecting group access:
-
First, give view/edit access to a group (e.g. Instructors)
-
Then assign No access to the individual user you want to exclude
Note:
-
You can only use this to remove access, not to downgrade access (e.g. from edit to view)
-
This function is only available to Administrators
Best practices
-
Share top-level folders widely, and limit access deeper in the structure if needed
-
Use subfolders to separate private vs. shared content
-
Keep folder names clear and program-aligned (e.g. ATPL → Phase 1 → Lessons)
-
Avoid over-sharing individual documents – use folder-based sharing where possible
-
Review access regularly to keep permissions relevant and safe
