Software update 02/09/2024: First version of Automated Scheduling

We are ready to release our 8th major update of the year on Monday September 2nd at 06:00 UTC. No downtime is expected for this update.

We are pleased to introduce the latest update from our development team. With the new features released this time, we are venturing into the world of automated scheduling within FlightLogger, aiming to enhance the management of one of the most crucial operations inside any flight academy.

This is just the initial step in our exploration of automated scheduling. We believe in making significant changes gradually to ensure a smooth transition for you and your team. While our AI-team is working on groundbreaking developments for the future, we are excited to present you with this first edition of Automated Scheduling.

New overview on Booking page summarizing bookings including completed and cancelled

For this update we have made some enhancements to streamline the Bookings page in FlightLogger. In addition to reorganizing certain elements, we introduce a new overview feature that provides a summary of the total number of bookings and the cumulative booked time for the selected date.

This overview displays the total number of bookings, the hours booked, as well as the number of completed and cancelled bookings.

Utilizing live data on the Bookings page ensures that any updates made are reflected instantly on the overview.

Create an unlimited amount of bookings with 3 clicks

This enhanced overview also acts as the gateway to our first version of automated scheduling features.

Our new semi-automated scheduling tool allows you to efficiently set up a full day of bookings in just seconds, minimizing the need for manual input for each booking.

This feature empowers your schedulers to save time by duplicating existing full-day booking setups for future planning or quickly rescheduling all cancelled bookings for another day.

As described at the bottom of this announcement, schedulers can use this function to create template-like schedules for future dates, streamlining the booking process even further.

Duplicate a full day of bookings

The duplicate feature enables you to effortlessly replicate all bookings (excluding maintenance and meetings) from one day to another. Simply navigate to the desired day, and click on the highlighted (black) text showing the total number and duration of bookings.

This action opens a modal window where you can choose the destination day for duplicating the bookings. Once confirmed, all the bookings are promptly generated.

All essential details such as timings, aircraft, classrooms, instructors, and students are automatically included in each duplicated booking. This simplifies the process for you to adjust the allocated resources and incorporate additional information like lessons and comments with ease.

Using the filter function when duplicating/rescheduling bookings

By utilizing the booking filter, you have the ability to choose specific aircraft and classroom bookings for duplication.

This ensures that only the selected bookings from the filtered aircraft and classrooms are included in the count and subsequently duplicated or rescheduled.

Reschedule all the day's cancelled bookings

Another valuable new feature we are introducing is the ability to easily reschedule all cancelled bookings from one day to another. This feature allows you to quickly make adjustments to your schedule in case of unforeseen events like bad weather or other occurrences.

To reschedule cancelled bookings, simply click on the red text displaying the number and total time of cancelled bookings. Then, follow the same straightforward process to select the new day for rescheduling the cancelled bookings.

Similar to the duplicate function, only essential information such as timings, aircraft, classrooms, instructors, and students are automatically transferred to the new booking. This simplifies the process for you to personalize the booking by adding details like lesson and comments.

Reschedule individual cancelled bookings and recreate individual completed bookings

In addition to the above mentioned new options to make multiple bookings via duplicating or rescheduling, we have added the option to quickly duplicate/reschedule individual bookings that are either completed or cancelled.

Again, it's the same workflow, but in this case you do it from the specific completed or cancelled booking. Just click the booking and then the link saying  Reschedule/Recreate, and then follow the same workflow.

Tip: Create template-like full day schedules on a future date for efficient scheduling and optimized resource utilization:

To enhance the efficiency of your scheduling process, we recommend a simple workflow for creating an optimal full-day schedule that can be easily applied to any date for efficient planning. Here's how you can do it:

  1. Navigate to the Bookings page and select a date well into the future. Take note of this date as you will use it as a reference when setting up your schedule.
  2. On this chosen date, create a comprehensive full-day schedule that maximizes the use of your resources. Ensure that you only include necessary information such as timings, aircraft/classroom, instructor, and student details in each booking.
  3. Once you have finalized the complete schedule, you can use this date as a template.
  4. To replicate this optimized schedule on a different date, simply go back to the future date and utilize the Duplicate function to transfer the schedule to the desired day.

As scheduler, you will then only need to adjust specific details like lesson content and comments for each booking.

Minor improvements and bug fixes
