Enable Students, Instructors & Crew to Edit Their Future Availability

This article explains how to control which user roles — instructors, crew, and students — can manage their own availability in FlightLogger, including whether they can edit past entries and how far in advance they can set future availability.

Where to manage availability permissions

  • Navigate to Administration > Account Settings > User Settings > Availabilities.
  • This area lets you:
    • Enable availabilities for the instructor, crew, and student roles.
    • Decide, per role, whether a user can edit their own past availability (for traceability).
    • Decide, per role, whether a user can edit availabilities more than X days in advance.

Default behavior and role differences

  • The feature is enabled for instructors by default; instructors can manage their own availability without additional permissions.
  • Availabilities are not enabled by default for crew or students — an administrator needs to turn the feature on for these roles under User Settings > Availabilities before those users can manage their own availability.
  • Administrators can always manage availabilities on behalf of other users, regardless of these settings.

How to allow non-instructors (crew or students) to manage their own availability

  1. Go to Administration > Account Settings > User Settings > Availabilities.
  2. Locate the role you want to change (e.g., student or crew).
  3. Enable availabilities for that role.
  4. Decide whether the role should be able to edit past availability (useful for correcting historical records, but weigh this against traceability — enabling it means past entries are no longer a fixed audit trail).
  5. Set the number of days (X) that role is allowed to edit availabilities in advance. This controls how far into the future users in that role can set or change their availability.

Notes on permissions and limitations

  • There are no separate toggles elsewhere for this capability — everything is controlled from Administration > Account Settings > User Settings > Availabilities.
  • Each role (instructor, crew, student) has its own independent settings for: enabled/disabled, past-editing allowed/disallowed, and the days-in-advance limit.
  • If availabilities are not enabled for a given role, they will always be available. 

Troubleshooting checklist

  • Verify the user's role(s): confirm which role (instructor, crew, student) is assigned on the user account.
  • Check whether Availabilities is enabled for that role under User Settings > Availabilities.
  • If the role is enabled but the user still can't edit past availability, confirm whether the past-editing setting is turned on for that role.
  • If the user can't set future availability, check the days-in-advance (X) value for that role — a value of 0 (or the setting being off) prevents future edits.
  • If a user has multiple roles (e.g., instructor and student) and one role restricts editing, then this shouldn't affect the users allowance of editing their availability.
  • If multiple users are affected and settings appear correct, collect the affected user names and escalate to FlightLogger Support for deeper investigation.
