Getting started as a renter

This guide is for new renters who are logging in to Flight Logger for the first time.

As a renter, Flight Logger lets you request aircraft or simulator bookings, view your own rental activity, upload or view rental-related documents, and complete rental registrations if your school has enabled that permission for your user.

Your school controls which rental options are available, so your view may look different depending on whether you are allowed to rent aircraft, simulators, or both.

1. Log in for the first time

When your school creates your user, you will receive a welcome email from Flight Logger. Use the link in that email to set your password and log in.

After logging in, start by checking your own profile. Depending on your school’s settings, you may be able to update your personal information.

If something is incorrect and you cannot edit it yourself, contact your school administrator.

2. What you can normally see as a renter

As a renter, you may be able to see:

  • your own rental bookings
  • your own rental history
  • rental-related documents
  • your own income or accounting information, if enabled
  • aircraft available for rental
  • simulator rental options, if enabled
  • rental registrations, if your school allows renters to manage their own registrations

You will not automatically have access to student training records, instructor tools, school-wide bookings, reports, or account settings.

3. Request an aircraft or simulator rental

If your school allows renters to request bookings, you may see options such as:

  • Request aircraft booking
  • Request simulator booking

When creating a rental request, you may need to select:

  • date and time
  • aircraft or simulator
  • departure and arrival airport, if required
  • booking comment
  • documents, if required
  • whether email notifications should be sent, depending on setup

After submitting the request, it may show as Awaiting approval until an approved staff member reviews it.

4. Understand rental approval

Some schools require rental bookings to be approved before they are confirmed.

A rental request may be:

  • approved
  • declined
  • cancelled
  • changed by staff or booking administrators

If your rental is awaiting approval, wait for confirmation from your school before assuming the aircraft or simulator is confirmed.

5. Cancel a rental request

If your school allows it, you may be able to cancel a rental request that you created.

When cancelling, you may be asked to provide a reason. Your school may receive a notification that the rental request was cancelled.

If you cannot cancel the booking yourself, contact the school’s booking or operations team.

6. View your own rentals

Your renter profile may include a rentals area where you can review your own rental activity.

This can include:

  • upcoming rental bookings
  • previous rental bookings
  • cancelled rental requests
  • rental status
  • aircraft or simulator used
  • rental documents
  • completed rental registrations, if enabled

You will normally only see rentals connected to your own user.

7. Complete rental registrations, if enabled

Some schools allow renters to manage their own rental registrations after a rental has taken place.

If this permission is enabled, you may be able to:

  • create a rental registration
  • update your own rental registration
  • delete your own rental registration
  • upload rental documents
  • update or remove uploaded rental documents

A rental registration may include flight information such as time, aircraft, and other details required by your school.

If you do not see registration options, your school may handle rental registration internally.

8. Upload or view rental documents

Flight Logger may allow documents to be connected to a rental.

Depending on your permissions, you may be able to:

  • view documents attached to your rental
  • upload documents for your own rental registration
  • update documents you uploaded
  • remove documents you uploaded

If your school requires documents before or after a rental, make sure they are uploaded in time.

9. Aircraft and simulator availability

You will only be able to request rentals for aircraft or simulators your school has made available to you.

If an aircraft or simulator is missing, it may be because:

  • it is not enabled for rental
  • you are not approved to rent it
  • your user is only set up for aircraft rental or simulator rental, not both
  • the aircraft or simulator is unavailable at the selected time

Contact your school if you believe you should have access to a missing aircraft or simulator.

10. Common first-time questions

Why can’t I request an aircraft booking?
Your user may not be enabled as an aircraft renter, or your school may not allow renters to request aircraft bookings directly.

Why can’t I request a simulator booking?
Your user may not be enabled as a simulator renter, or simulator rental may not be enabled for your school.

Why is my rental awaiting approval?
Your school may require rental requests to be approved before they become confirmed bookings.

Why can’t I register my completed rental?
Your school controls whether renters can manage their own rental registrations. If you do not have this permission, staff may need to complete the registration.

Why can’t I see all aircraft?
Renters can only see aircraft that are available and approved for their rental access.

Why does my view look different from another renter’s?
Rental access can differ by user. One renter may have aircraft access, another may have simulator access, and another may also be allowed to complete registrations.

11. Best practice for your first rental

Before your first rental, we recommend that you:

  1. Log in and check your profile.
  2. Confirm whether you can request aircraft, simulators, or both.
  3. Create your rental request with the correct date and time.
  4. Check whether the booking is approved or still awaiting approval.
  5. Review any comments or document requirements.
  6. After the rental, complete the registration if your school allows this.
  7. Contact your school if anything looks incorrect or if an aircraft is missing from your rental options.
