Getting started with Ground training programs and ground school warnings

In this video you'll learn how to create Ground training programs in FlightLogger. Also we show you how ground training sessions can be booked.

This article explains how to create theory courses in FlightLogger, and how the built-in ground school warnings help you track student progress and exam performance.

Same example used as in the video above:

Creating a theory course

To set up a new theory course:

  1. Go to Administration → Theory courses

  2. Click Create theory course

  3. Give your course a name (e.g. ATPL Test)

Configuring ground school warnings

Each theory course can include up to three types of automated warnings, triggered by student exam activity:

Warning type Description Default settings
Attempt warning Triggers when a student has failed the same subject multiple times Yellow: 3 failed attempts
Red: 4 failed attempts
Expiry warning Triggers if the student takes too long to pass all exams after the first attempt Yellow: >14 months
Red: >18 months
Sitting warning Triggers when too many sitting groups are used Yellow: 5 sittings
Red: 6 sittings
 

You can customize these thresholds when creating the course or update them at any time later.

Adding categories to the course

After creating the course:

  1. Click Create category

  2. Give the category a name (e.g. Aerodynamics)

  3. Define the required theory hours (e.g. 100h)

Repeat for each subject in the theory program (e.g. Meteorology – 120h 30min).

Once categories are added, the course becomes active and can be selected when booking or registering theory training.

Booking and registering theory and exams

Once your course and categories are active, instructors can begin:

  • Booking ground theory sessions (linked to specific categories)

  • Booking and grading exams (real exams or internal tests)

Example flow

  1. Book a 3-hour classroom theory session under ATPL Test → Aerodynamics for student Rebecca

  2. Book and register 3 failed exams for Rebecca in the same category

  3. Place each exam in the same sitting group, and backdate the first exam by 15+ months

Understanding how warnings are triggered

Once activity is registered, FlightLogger will automatically trigger ground school warnings based on your configuration:

Triggered warning Condition
Expiry warning First exam >14 months ago and not all exams passed
Attempt warning 3 or more failed exams in one subject
Sitting warning 5 or more different sitting groups used
 

These warnings will display:

  • In the student profile → Ground school warning section

  • In the Warnings → Ground training warnings page (for administrators)

Warnings remain active until all exams are passed and an admin sets the sitting group to Completed

Managing sittings and resetting progress

Administrators can manage sittings under the student's Exams section:

  • Add new sittings for retakes

  • Mark sitting groups as Completed or Active

  • Reset progress if the student needs to restart their exam sequence

Monitoring ground school performance across all students

To view all warnings across your account:

  1. Go to Warnings → Ground training warnings

  2. See all active:

    • Expiry warnings

    • Attempt warnings

    • Sitting warnings

You can build filters to focus on specific groups or combinations of warning types.
