Requesting a simulator rental in FlightLogger

FlightLogger allows users to rent both aircraft and simulators. If your school or organization offers simulator rentals, you can easily request a rental time via your personal FlightLogger login.

The below video explains how to request a rental of a simulator (from the renter's point of view) using rental time slots in FlightLogger.

What is a simulator rental request?

A simulator rental request allows you to reserve available time slots on one or more simulators configured by your flight school or organization. Instead of booking directly, you request a slot—an administrator will then approve or decline the request based on availability, conditions, or internal policies.

This process helps ensure that simulator usage is organized and that instructors or other priority bookings are not interrupted.

Who can request a simulator rental?

Only users assigned the “Renter” role in FlightLogger will have access to this function. If you are unable to access the simulator rental calendar, please contact your organization’s FlightLogger administrator.

Step-by-step: How to request a rental

1. Log in and go to Booking → Request simulator rental

From your front page:

  • Open the top menu

  • Go to Booking

  • Click Request simulator rental

This will take you to the Simulator rental calendar.

2. View simulator availability

The calendar displays available simulator time slots as defined by your organization.

🗓️ You can view the calendar in:

  • Daily view – See detailed hours for a single day

  • Weekly view – See the full week at a glance

  • Monthly view – Useful for planning far in advance

Use the navigation tools to:

  • Move forward/back in time

  • Jump to a specific date

  • Select a different display format

You can only request time slots that have been made available by your administrators. You cannot request partial time slots or outside configured availability.

3. Click the desired time slot

When you find an open slot that fits your needs:

  • Click on it to open the rental request form

In the form, you’ll be able to:

  • Add a comment – For example, purpose of the session or preferred setup

  • Attach documents (optional) – If your school requires a rental agreement or similar

  • Enable email notification – Choose to receive an email once your request has been approved or declined

4. Submit your request

Once you’ve filled in the details:

  • Click Create

Your request is now submitted and will appear on your front page with the status Pending approval.

5. Wait for confirmation

Your simulator rental request needs to be approved by an administrator.

You will be notified:

  • On your front page, where the booking status will change to Approved or Declined

  • Via email (only if you selected the notification option during the request)

Once approved, your booking becomes active, and you will be able to proceed with your simulator session as planned.

What happens after approval?

Once your simulator rental has been approved:

  • It becomes an active booking and is shown in your upcoming bookings

  • Depending on your organization’s setup, you may need to:

    • Confirm the booking or

    • Register the simulator session once completed

Check with your instructor or administrator if you’re unsure.

Notes and best practices

  • If the time you need is not available, contact your school’s administration—they may be able to free up or adjust availability slots.

  • Always include clear comments or documentation if required by your organization.

  • If you change your mind, you can ask an administrator to cancel or edit the request.
