This article shows you how to create pricing and apply price lists to your aircraft. The feature is only available if your organization is using the User Balance Module.
How to Set Up Advanced Pricing for an Aircraft, Helicopters or Simulators
Advanced aircraft pricing lets you create customized rates for aircraft, helicopters and simulators based on flight type. (We will use an light aircraft and a SIM for the explanation, but the same explanation applies for helicopters etc.).
This means you can set different prices not just by training program, but also by the specific flight types registered within each program, enabling more detailed and accurate student accounting.
To enable advanced pricing for an aircraft or simulator, go to:
Administration → Aircraft
You will see a full overview of all aircraft and simulators in your account. Find the aircraft you want to edit, then click Prices corresponding to the aircraft, to access the pricing settings.
This will open the program-based pricing view for the selected aircraft or simulator. Now click Create aircraft price to set up a new pricing configuration.
If the aircraft is utilized for rentals, start by toggling the Rental Price switch.
In the Flight Log section, select the timer you wish to use. The available timers here are based on what has already been configured for that specific aircraft.
Next, under Hourly Rate, enter the rental rate. In the example, it is shown in Euro, but if you are using the User Balance Module, you can define your own currency, which will automatically appear in front of the rate.
Once everything is filled in, click Create Aircraft Price to save your setup.
The price you just set up will now appear under the pricing for that specific aircraft. To make changes, simply click the pencil icon to edit, or click the red circle with a cross to delete the price entirely.
If you want to attach a general price to one of your programs, start by selecting the program from the dropdown menu under Program. This list will show all training programs available in your account—just choose the one you want to use.
Next, choose the Flight Log type based on how you've set it up for the aircraft, enter the hourly rate, and click Create Aircraft Price to save.
You can now follow the steps above to add pricing to all your different programs.
If you need to make changes to the pricing you just created, go to the pricing overview list where it appears and click the edit button. You can also delete the pricing from this same view.
If you want to add more advanced pricing to the specific program you just created, simply click the edit button again to expand your setup.
Once you toggle the Advanced Pricing option, a new tab will appear where you can set specific hourly rates instead of just a general rate.
For example, instead of applying a single rate, like the €200 per block hour for a PPL as used in the example above, you can now define pricing based on the type of flight and type of instruction. These are:
-
VFR Dual
-
VFR Solo
-
VFR SPIC (Student Pilot-in-Command)
-
IFR Dual
-
IFR SPIC (Student Pilot-in-Command)
Each flight type can have its own rate. For instance, a VFR Solo flight is typically lower in cost than a VFR Dual flight, as dual flights include instructor time etc.
Once your advanced rates are entered, remember to click Update to save your changes.
*Note: Advanced prices are always calculated based on the Primary timer.
Once you have completed the program, advanced, or rental pricing setup for one aircraft, you will need to repeat the process for your other aircraft, helicopters, or simulators.
The options for simulators are nearly the same,rental-based and program-based pricing are both supported. However, when setting up advanced pricing for simulators, only two flight types are available: VFR rate and IFR rate. There are no options for solo, dual or SPIC instruction pricing.
*Note: Keep in mind that your accounting may still be influenced by any student discounts you have configured through the User Balance Module (UBM).
Create price lists to manage aircraft pricing with ease
This feature lets you set up standard price lists that can be quickly applied to multiple aircraft. It saves time by allowing you to define your pricing once, instead of updating each aircraft individually.
To get started, go to Administration → Aircraft, then click the Price Lists button to access the price list setup.
This will take you to the Price Lists page, where you can view all existing price lists for your account.
To create a new one, simply click the Create Price List button.
Enter a name for your new price list, then click Create Price List to save it.
Click Create Aircraft Price. From here on, the setup process works just like pricing for a single aircraft (as explained above), including any advanced pricing options, if needed.
Once finished, click Create Aircraft Price, and your price list will be ready to apply across multiple aircraft.
How to apply the new price list to an aircraft
From the same page, click on the Aircraft tab. Select the aircraft you want to assign the price list to, then click Apply Price List.
A confirmation message will appear. Review the text and click Apply to complete the assignment.
The price list is now applied to the selected aircraft.
An overview will display when the price list was applied, with a date and timestamp, along with the name of the admin user who performed the action.
By returning to Administration → Aircraft → Prices for the specific aircraft, you will now see that the rental price has been updated.
The original rate of €150 (which we originally created above), has now been replaced by the new price from the applied price list, namely €170.
Important Notes When Applying Price Lists
-
Existing prices will be overwritten: When a price list is applied to an aircraft, any previously set prices on that aircraft will be replaced.
-
Program-specific fallback: If the price list does not include pricing for a specific program, any previously entered price for that program will remain unchanged.
-
Conflicting price lists: If multiple price lists are applied to the same aircraft, the prices from the most recently applied list will take priority.
-
Updates require reapplication: Changes made to a price list after an existing list has been applied to an aircraft will not automatically update the aircraft's pricing. To apply changes, the new price list must be applied.
