Setting up calendar synchronization for aircraft and classrooms

As an administrator, you can sync the booking schedule for an aircraft or classroom to an external calendar (e.g. Google Calendar, Outlook, or Apple Calendar). This gives anyone who needs visibility — without logging into FlightLogger — a live read-only feed of that resource's bookings.

This feature only syncs booking information out to an external calendar. It does not allow you to manage or edit bookings — any changes must still be made directly in FlightLogger.

Try following the step-by-step guide below to see the process in action.

Syncing an aircraft's calendar

  1. Click Administration in the top menu.
  2. Click Aircraft to view the list of aircraft.
  3. Click the calendar synchronization icon next to the aircraft you want to sync.
  4. Choose the feed that fits your needs:
    • Feed with minimal information — suitable for public sharing.
    • Private feed — includes full booking details and document links.
  5. Click the copy button to copy the calendar feed URL to your clipboard.
  6. Use this URL to add the aircraft's schedule as a new calendar subscription in your preferred calendar app.

Syncing a classroom's calendar

  1. Click Administration in the top menu.
  2. Click Classrooms to view the list of classrooms.
  3. Click the calendar synchronization icon next to the classroom you want to sync.
  4. Choose the feed that fits your needs:
    • Feed with minimal information — suitable for public sharing.
    • Private feed — includes full booking details and document links.
  5. Click the copy button to copy the calendar feed URL to your clipboard.
  6. Use this URL to add the classroom's schedule as a new calendar subscription in your preferred calendar app.

Note: this feature only syncs booking information — it is not limited to classrooms, and can also be used for briefing rooms, meeting rooms, or any other bookable space set up the same way as a classroom in FlightLogger.

Setting up the feed in your calendar app

You can always find video guides here on how to set up the calendar sync for different calendar apps (Apple Calendar, Outlook, and Google Calendar).

Note that Google Calendar only updates feeds every 12 hours or so, so we recommend using another calendar app if you need more frequent updates.
