Understanding the Departure/Arrival page

Give users a clear overview of how the Departure/Arrival page works, what data it shows, and how it updates throughout a flight's lifecycle.

What is the Departure/Arrival Page?

The Departure/Arrival page provides a live operational overview of flights in progress.
It consists of two views:

  • Departures – Flights scheduled to begin, based on booking data

  • Arrivals – Flights currently underway or recently landed, based on flight registration

The page is typically used by instructors, dispatchers, and operations staff to track activity in real time.

Departures Section

What it shows:

Displays bookings for flights scheduled to begin soon.
Flights appear here 24 hours before ETD (adjustable via settings).

How it updates:

  • Pulled from the booking itself

  • Status is controlled either by the registrant (e.g. instructor) or Dispatcher

Departures

Note that information displayed in Departures is picked up from the booking. Only exception is the Status, which is set by either the registrant via the flight registration or a user with the Dispatcher role.

AIRCRAFT: Displays the selected aircraft of the booking. Clicking it opens the aircraft's profile in a new browser window (provided you have user rights to see it).

DEP: Displays the selected departure airport of the booking

TYPE: Displays the type of flight. On school flights, the name of the selected lesson is displayed (with link to lesson in view mode) if it has been booked, otherwise it displays School flight. Rental flights display Rental, while operation flights display the selected type of flight that has been booked.

STU/REN: Displays the student or renter of the booking. Clicking it opens a new tab with the user profile (provided you have user rights to see it).

INS/CREW: Displays the instructor or crew of the booking. Clicking it opens a new browser window with the user profile (provided you have user rights to see it).

OBS: Displays any observers added on the booking

POB: Displays the total number of people registered to be on board the flight

FUEL: Displays the current fuel endurance of the booked aircraft. Only shown if fuel registration is enabled on your account.

ETD: Displays the expected time of departure of the booking. This will turn red if the ETD is overdue

TIME: Displays the remaining time before expected time of departure. This turns red if the booking is overdue.

ETA: Displays the expected time of arrival of the flight

ARR: Displays the selected arrival airport of the booking.

COMMENT: Displays any comments added to the booking.

STATUS: Displays current status of the booking. This can be:

  • SCHEDULED - this is the standard status of booking that have not been initiated
  • BRIEFING - this means that the instructor has started the lesson completion but not yet made an Off Block registration
  • DELAYED - this means that the lesson briefing start time is overdue and hasn't been proceeded
  • CANCELLED - this means the booking has been cancelled

EDIT: The edit icon allows a direct access to edit the booking. This icon only shows for users with the Dispatcher user role as explained in this article.

Arrivals:

Note that information shown in Arrivals is picked up from the live flight registration, or from edits done by a user with the Dispatcher user role.

AIRCRAFT: Displays the selected aircraft of the flight. Clicking it opens a new browser showing live tracking of the flight via AirNav RadarBox, FlightRadar24, or FlightAware (see more in this article).

DEP: Displays the departure airport of the flight.

TYPE: Displays the type of flight. On school flights, the name of the selected lesson is displayed (with link to lesson in view mode) if it has been booked, otherwise it displays School flight. Rental flights display Rental, while operation flights display the selected type of flight that has been booked.

OFF BLOCK: Displays the registered OFF BLOCK time of the flight.

TIME: Displays a progress bar showing time left from current time to the ETA time set in the flight registration.

ETA: Displays the expected time of arrival set in the flight registration

ARR: Displays the arrival airport of the registration.

COMMENT: Displays any comments added to the booking.

STATUS: Displays current status of the flight. This can be:

  • FLIGHT - displays when the registrant makes the OFF BLOCK or TAKEOFF registration
  • LANDED - displays when the registrant makes the LANDING registration
  • EARLY - displayed if the current ETA is earlier than the ON BLOCK time of the booking.
  • DELAYED - displayed if the current ETA is later than the ON BLOCK time of the booking.

Tips & best practices

  • Use tablets or mobile devices to keep Flight Registration live

  • Keep ETD and ETA accurate to help ground operations stay informed

  • Review flight statuses regularly to ensure timely handovers

  • Use “ETA quick buttons” to update arrival time if delays occur

  • Train new instructors in the status transition flow to avoid incomplete flights
