Creating a new training program from scratch

Creating a new program from scratch does not have to be difficult. Just follow these simple steps to get up and running.

This video provides a quick walk-through of the process of creating a new training program from scratch.

Otherwise, follow the following step-by-step guide on structuring your program with phases, lessons, and exercises.

TIP: If you already have a similar program, save time by using the program cloning feature. It duplicates the structure, lessons, and exercises for you.

Permissions Needed

Before creating a program, make sure the user has permission to create programs and edit the Master Exercise List. These permissions can be set for a specific user group or for an individual user.

1. For a whole user group, you can assign this role by going to:

  • Administration → User Permissions

  • Select the relevant user group

  • Navigate to the Programs option

  • Enable the "Manage" option "Can see and edit master exercise lists"

2. For an individual user, you can assign this role by going to:

  • User Profile page → Settings → Permissions

Once assigned, the responsible user manages the content and structure of your training programs.

This ensures consistency, better tracking, reliable statistics, structured revisions, and simpler instructor workflows. Administrators can revoke these permissions at any time.

Start the Program Setup

  • Go to Programs via the Administration

  • Click Create - Flight Training.

  • Enter a name for your program, choose an aircraft type and click Create Program

TIP: If a similar program already exists, you can copy its Master Exercise List to save time.

This is done by clicking the box “Use master exercise list from another program.”
When selected, a dropdown menu with all your existing programs will appear.For now, we're starting from scratch.

  • The next screen will prompt you to create a Revision and a Master Exercise List.

Create the First Revision

  • Click to Create revision.

  • Enter the revision number and any other relevant data, for example the date

*Note: The “External Reference” field can be used to refer to a program revision of an external sources or system (for example, another database or record system).

This setting exists because some flight schools create lessons with exercises, but no set syllabus time. In these cases:

  1. Schedulers can make one standard booking.
  2. Instructors then decide during the flight whether to complete one, two, or more lessons within that time slot

By default, FlightLogger will add zero full stop landing for each flight lesson that has no flight time defined.

FlightLogger assumes “no time = no landings”, and the instructor would need to add landings manually.

If the option is turned on, FlightLogger ensures at least one full stop landing is recorded per lesson by default.

*Note: Leave this option unchecked if you have are assigning syllabus minimum times to all lessons.

  • Country specific settings

This option is for the Pilot Training Records (PTR), as required by Canadian regulations.

When enabled, this option will add an extra grading tab in the Flight Registrations section.

*Note: If your organisation is not based in Canada, leave this option unchecked.

This section lets you customize what data is shown (apart from the default data), in the program overview on the student’s profile page.

- Show progressbar: Enable this option to display a progress bar in the student’s program overview.

- Show remaining time: Enable this option to display the remaining syllabus time in the student’s program overview.

- Count ME Sim as Multi Engine (ME): Enable this option if you want ME Simulator time to be counted as Multi Engine time.

Choose which info columns to add, showing flight types that are defined in your syllabus (e.g., dual, solo, simulator).

Enable this option to show more detailed breakdowns (subdivisions or specifications) of the flight type columns defined in your syllabus.

  • Save Revision
    Click Save Revision to store your new revision details and set the foundation for your program.
    You’ll then be taken back to the Program Overview page where you started.

Create the Master Exercise List

  • On the Program Overview page, click on Master Exercise List

  • Choose Create Master Exercise.

  • Enter the exercise Name. Choose an existing Statistic Group such as Stalls. FlightLogger will then track progress for the whole group.
    If you prefer to track each exercise individually, simply leave the Statistic Group field empty. In that case, FlightLogger will create a statistic group with the same name as the exercise.

  • Repeat this process for every exercise in your training manual to create a full list of exercises for the specific program.

  • Once the list is completed, return to the Program Overview page by simply clicking on the program name

Set Up the Phases and Lessons

  • After creating the Revision and Master Exercise List, click on the newly created revision. You will land on the page to create Phases and Lessons.

Note: Phase 1 is always created by default. If you're running a simple program, you can skip adding extra phases.

  • You can always edit the name of any created phase, by using the Edit (pencil) icon

  • If you wish to create extra phases, click Create phase. Name the new phase and save.

  • The new phase will now be shown in the phase and lesson overview.

Creating lessons

  • The next will be to populate the phases with lessons. Do so by clicking Create Lesson in....

  • Give the new lesson a name and fill in the briefing subjects.

  • Lastly, scroll down to the bottom half of the page to specify the Briefing and Syllabus times and click Save.

Assign Exercises to Lessons

  • Once saved, you will be taken to the lesson overview page, ready to assign Exercises
    To do so, click on the newly created lessons' name.

  • The Lesson section, on the left hand side, is empty. 
    All the exercises that have been created in the Master Exercise List, will appear on the Right Hand Side

  • You now need to create at least 1 category for the lesson. 
    Categories defines what the set of exercises is about (e.g., navigation, stalls, auto rotations, takeoffs/landings).
    Click Create Category

  • Give the category a Name and Create

  • If needed, create more categories in the same way. Take note that categories can be moved up/down.

  • Now, simply drag and drop the relevant exercises from the Master Exercise List into the appropriate category.

  • Click Return to program revision and repeat the procedure to create the remainder of the lessons.

Review syllabus time

  • Once all lessons are created, click the small toggle button in the lesson overview to view the syllabus time summary.
    This gives you a quick visual overview of the total hours entered per category and helps ensure all time allocations are correct before launching the program.

Add students and go live

  • Once finished, your program is now finished, and ready. 
    Go back to the Programs Overview via the Return to programs option.

  • You can also go back to the Program Overview (Programs via the Administration tab), you will see your new program with the rest of your existing programs, ready to be assigned to new students.

Final step: Add students and go live

Your new training program is now ready to be used!
Since you only have one revision, you don’t need to activate anything, the revision is live by default.

You can now attach students to the program and start using it for bookings and training registrations.
